The company is an AI-powered platform that helps people research, write, and study. Its tools support users with content creation, rewriting, fact-checking, and improving the quality of their work.
A global AI writing and research platform with more than 3 million users and a website localized into 43 languages. Email plays an important role in onboarding users, explaining product value, and encouraging them to return to the platform.
As the company expanded its multilingual communication, its marketing team needed a faster way to create and manage localized email versions without rebuilding every message manually.
Email localization involves more than translating several paragraphs. Every language version must include the correct subject line, preheader, buttons, headings, body copy, and legal text while preserving the original structure, formatting, and links.
For each email, the team needed to:
The number of required languages made this difficult to manage manually. One template needed five additional language versions, while two others required eight variants each.
The localization guidelines were also detailed. Spanish translations had to use informal “tú,” French required formal “vous,” German used polite “Sie,” and Japanese had to follow the Teineigo style. Translators also needed to apply native punctuation and capitalization conventions.
Repeating this process across multiple templates would normally require extensive coordination between marketers, translators, and technical specialists. It would also create more opportunities for inconsistent terminology, broken links, missed text blocks, and formatting errors.
The marketing team used Reteno Agent to turn its localization requirements into a clear, repeatable task.
For the first email, the team asked the Agent to keep English as the default and add German, Italian, Brazilian Portuguese, French, and Latin American Spanish variants. The instruction covered the subject line, preheader, and all email copy while requiring every original link to remain unchanged.
For the next two templates, the localization scope expanded to eight languages:
The team provided detailed translation guidelines covering tone of voice, forms of address, native punctuation, capitalization, and measurement conventions. Reteno Agent then created the language variants directly within the existing email templates.

The process covered four key stages:
Reteno also supports translation import and export through Google Sheets. Teams can authorize Google Drive, select an existing spreadsheet or create a new one, and work with different worksheets inside the same file. Before an import is applied, Reteno validates the language columns, identifies differences, and shows a preview of the proposed changes.
This gives marketers, translators, and reviewers a shared workspace while keeping the final language versions connected to the email in Reteno.
The company localized three email templates into a total of 21 new language variants.
The first template received five localized versions in 6 minutes and 51 seconds. Another template was translated into eight languages, and the third eight-language localization was completed in just 3 minutes and 8 seconds.
The final verification confirmed that:
The team could move from one English email to a verified multilingual template in minutes without manually copying content between separate messages.

Beyond the speed improvement, the workflow introduced stronger quality controls. Translation instructions were applied consistently, technical elements remained protected, and every update was verified against a fresh export before completion.
For global apps and digital products, localization can quickly become an operational bottleneck. Every new campaign adds more copy to translate, more versions to review, and more opportunities for mistakes.
Reteno brings translation creation, language management, collaboration, and verification into one workflow.
✅ Launch multilingual emails faster. Create multiple language variants without rebuilding each email manually.
✅ Protect the original template. Keep links, variables, styling, and layout consistent across every version.
✅ Follow market-specific language rules. Apply terminology, tone, punctuation, and forms of address defined in your localization guidelines.
✅ Make reviews easier. Export translations to Google Sheets so translators and local teams can work in a familiar collaborative environment.
✅ Review changes before publishing. Validate imported files and preview differences before applying updates.
✅ Scale localization without scaling repetitive work. Use the same process across more campaigns, templates, languages, and markets.
Multilingual messaging should not require marketers to choose between speed and quality. With Reteno, teams can prepare localized emails in minutes, verify every variant, and give users a more relevant experience in their preferred language.
