A global AI writing and research platform with more than 3 million users and a website localized into 43 languages. Email plays an important role in onboarding users, explaining product value, and encouraging them to return to the platform.

As the company expanded its multilingual communication, its marketing team needed a faster way to create and manage localized email versions without rebuilding every message manually.

Challenge

Email localization involves more than translating several paragraphs. Every language version must include the correct subject line, preheader, buttons, headings, body copy, and legal text while preserving the original structure, formatting, and links.

For each email, the team needed to:

  • Keep the English version unchanged as the default.
  • Translate all visible copy, subject lines, and preheaders.
  • Follow language-specific tone, grammar, punctuation, and capitalization rules.
  • Use the correct level of formality in each market.
  • Preserve every link from the original email.
  • Avoid changing CSS, dynamic variables, or other technical elements.
  • Confirm that no untranslated English copy remained.

The number of required languages made this difficult to manage manually. One template needed five additional language versions, while two others required eight variants each.

The localization guidelines were also detailed. Spanish translations had to use informal “tú,” French required formal “vous,” German used polite “Sie,” and Japanese had to follow the Teineigo style. Translators also needed to apply native punctuation and capitalization conventions.

Repeating this process across multiple templates would normally require extensive coordination between marketers, translators, and technical specialists. It would also create more opportunities for inconsistent terminology, broken links, missed text blocks, and formatting errors.

Solution

The marketing team used Reteno Agent to turn its localization requirements into a clear, repeatable task.

  4. Verify the live result. After each update, the template was exported again and checked to confirm that all language variants were present, links matched the English version, and no source-language phrases remained in the localized HTML.
